What you can do
Keep the work connected
A new staff member can have an onboarding checklist with a start date and target completion date. Its tasks identify category, assignee, due date and status. Admin can see which payroll, IT, facilities or training tasks remain open. A blocked task stays visible for follow-up; a completed checklist summarizes the work rather than hiding the individual assignments.
L&D Admin maintains the course catalog and employee enrollments. Courses carry category, delivery method, mandatory flag and possible certification validity. An enrollment records why the person was assigned, when it is due and whether it was completed. A training record keeps the completed title, provider, completion date, certificate link and expiration date. That durable record remains useful when an enrollment or assignment changes.
For a teaching hire, use the course and training records to track staff learning or credentials that the school has chosen to administer. Check the expiration date before treating a record as current. Agree who confirms completion evidence and who follows up when a record is expiring soon. The employee can view their training record while L&D Admin manages the catalog and completion record.
How the work is organized
- Hire tasks. onboarding checklists group tasks for an employee and target completion date. Each task has a category, assignee, due date and status.
- Course assignment. L&D Admin maintains Courses and course enrollments, including delivery, due date and completion status.
- Completion evidence. training records keep the employee, title, provider, completion date and any expiration date after learning is finished.
What to agree during setup
Agree who creates a checklist when a staff member joins and which task categories apply. Give every task an employee assignee and a due date that makes sense for the start date. L&D Admin owns courses, enrollments and training records. Establish who checks completion evidence and when an expiring record needs follow-up. Employee access is limited to viewing the training record and does not make that person the catalog owner.
Check the handoff on an actual case
For a new school employee, Admin opens an onboarding checklist and assigns payroll and training tasks with dates. L&D Admin places the person in a course and later records the completion date and provider. Check the training record’s expiration date before using it for a later staff assignment. Rehearse a blocked onboarding task: leave its status visible and contact the assignee rather than closing the whole checklist. If completion evidence is missing, keep the enrollment and training record distinct until L&D Admin can verify the result. This gives the employee a clear record of completed learning.
