What you can do
Keep the work connected
A Payroll Admin selects a payroll calendar and period, then prepares a run for the employees assigned to that calendar. The run records its period, pay date, type and status. Per-employee statements carry the corresponding period, currency, gross pay, deductions and payment state. Statement lines distinguish earnings, taxes and benefit deductions for review.
A school can keep a regular run separate from an off-cycle correction or bonus run. Compare employee counts and gross and net totals before approval. The run approval should be a deliberate decision based on statements and source entries. Posting and payment represent later states; neither should be inferred from a draft calculation. Tax filings link to runs and jurisdictions and have their own due and filed dates.
Benefit plans record type, country, class, contribution percentages and effective dates. Enrollments tie a person to a plan, coverage tier and event. The Payroll Admin can inspect them alongside pay inputs, while the employee has read access to their enrollment and statements. Agree how carrier enrollment and bank payment confirmations will enter the operating process before relying on those downstream results.
How the work is organized
- Pay period. Payroll Admin selects a payroll calendar and prepares the run for its dated period. The run identifies pay date, type, approval state and totals.
- Employee detail. pay statements link people to a run, while pay statement lines show earnings, taxes and deductions. Compare those details before a decision on the run.
- Benefits and filings. benefit enrollments link employees to plans and dates. Tax filings link a run to a jurisdiction, due date and recorded filing status.
What to agree during setup
Agree which employees belong to each payroll calendar and who verifies the pay period. Review legal entity, country and currency before opening the first run. Admin is the decision owner for payroll approval in the operating process; Payroll Admin prepares and records the pay data. Name an owner for carrier enrollment confirmation, payment confirmation and filing references where those external steps apply.
Check the handoff on an actual case
Choose a regular pay period and one employee with a benefit enrollment. Payroll Admin inspects the run’s dates and totals, then checks that employee’s statement and the benefit deduction line. Admin examines the pending run before deciding whether it may advance. Rehearse a missing deduction: keep the run pending while the statement is corrected, then compare totals again. Once the run is posted, record payment and filing status only from the appropriate confirmation. An off-cycle correction should use its own run type and remain traceable to the period it corrects.
