What you can do
Build the pay period
Payroll calendars define frequency, entity, country, currency and cutoff days. Payroll Admin opens a payroll runs record for a period and pay date. The run moves through calculation, pending approval, approval, posting, payment and closure. Off-cycle, retro, correction and bonus runs remain distinguishable from regular pay.
How the work is organized
- Source record. Payroll Admin links each run to a calendar and period.
- Decision point. Compare approved time, benefit enrollment and pay lines before a run is approved.
- Outcome. Record posting, payment and filing as separate dated outcomes.
Each pay statements record belongs to a run and employee. Pay statement lines separate earnings, pre-tax and post-tax deductions, tax and employer amounts. Benefit enrollment and approved overtime can affect those lines. Tax jurisdictions identify the authority; tax filings track filing amount, due date, filed date and confirmation reference.
What to agree during setup
Agree the payroll calendar and cutoff, the Admin who records approval, and the Payroll Admin who posts the run. Reconcile employee currency, benefit deductions, tax jurisdiction and pay lines for a sample period.
Check the handoff on an actual case
Rehearse a regular pay period with an approved overtime timesheet and an active benefit enrollment. Compare the employee population with the calendar, review the statement and its pay lines, then route the run to its approver. Only after approval should posting proceed. Follow the resulting tax filing through its recorded due and filed dates.
The team should compare the source and outcome records rather than relying on a status label alone. The next owner can then see what changed, when it took effect and which record to investigate if a detail disagrees. Keep an exception visible until its owner resolves it.
The payroll calendar controls the regular cutoff. Use the run type when a correction or off-cycle payment needs a different path. A statement should remain tied to the same employee and run even when an amount requires review. Compare gross pay, total deductions and net pay across the statement and its lines. Filing work has its own status and confirmation reference, so payment of employees and submission to an authority can be followed separately.
