What you can do
Set the review period
Performance cycles define annual, midyear, probation or off-cycle windows. Goals link an employee to a cycle and carry a category, weight, due date, progress and final rating. Performance reviews link a subject and reviewer to the same cycle. Review type distinguishes self, manager, peer, upward and skip-level work.
How the work is organized
- Source record. HR Business Partner keeps goals and reviews linked to an employee and cycle.
- Decision point. L&D Admin checks course enrollment status before recording completion.
- Outcome. training records retain the completion date and any expiration date.
A cycle can progress from planned to open, review, calibration and close. Reviews have their own progression from not started through submission, calibration, release and acknowledgment. Courses form the learning catalog; course enrollments record assignments, due dates, progress and scores. Training records hold completed learning and any expiration date.
What to agree during setup
Agree cycle dates, reviewers, course owners and the person who records each training outcome. Set a review schedule and check employee links before opening a cycle. Decide how certificates from an external learning system will be entered.
Check the handoff on an actual case
Rehearse a cycle with a goal due before the review closes. Submit the review, inspect its rating and narrative, then follow calibration and release. L&D Admin enters a course enrollment, then records completed training with its completion and expiration dates. A record nearing expiry should be visible to the learning owner.
The team should compare the source and outcome records rather than relying on a status label alone. The next owner can then see what changed, when it took effect and which record to investigate if a detail disagrees. Keep an exception visible until its owner resolves it.
Goals can remain active or at risk while the cycle is open. The review owner should look at their progress and due dates before the narrative is submitted. A review rating is attached to the subject, reviewer and cycle, rather than standing alone. A course enrollment records whether an employee is enrolled, in progress or completed; the durable training record then carries the completion and expiration dates. That separation matters when a course is assigned but not finished.
