What you can do
Record the time being requested
An Employee enters a leave request with a leave type and start and end dates. The request moves from draft to submitted before a named approver decides. Leave balances carries accrued, taken, pending and carryover values for each employee and leave type. The approver needs the dates and balance together, especially when another request already reserves time.
How the work is organized
- Source record. Employee enters the dated leave request or weekly timesheet.
- Decision point. Admin checks the named approver, balance and time entries before recording an approval.
- Outcome. Payroll Admin uses approved hours when preparing the pay period.
Weekly Timesheets summarize hours by employee. Time entries attach dated regular, overtime, double-time or on-call hours to the sheet. Approval is a decision on the submitted timesheet; the status and approval date let Payroll Admin distinguish reviewed hours from drafts and rejections.
What to agree during setup
Agree which employee is named as Approver on leave requests and timesheets, and who records the decision under configured access. Set leave-type rules and opening balances. Align week dates with the payroll calendar.
Check the handoff on an actual case
Use an employee who requests a week away while also recording overtime in the prior week. Check the leave type, date range and balance before the approval. Then inspect every time entry in the weekly sheet before approving its total hours. Confirm a rejected sheet stays visible for correction and that only approved work is used as the payroll input.
The team should compare the source and outcome records rather than relying on a status label alone. The next owner can then see what changed, when it took effect and which record to investigate if a detail disagrees. Keep an exception visible until its owner resolves it.
A leave type carries accrual method, rate, documentation requirement and country or employee-class applicability. Review those settings before the first balance is entered. The request itself records the start and end dates, while the balance has an as-of date; those dates must be interpreted together. On the time side, each entry carries a date, hour quantity, category and optional project or cost center. The weekly sheet should be checked against its underlying entries before approval.
