What you can do
Put the request beside the balance
An employee’s leave request identifies a leave type, start date, end date, reason, status and approver. The corresponding balance holds accrued, taken, pending and carryover amounts as of a date. People Manager should inspect both before approving a request. The leave type provides the country, employee class, accrual method, rate, carryover cap and documentation requirement that determine how the request should be evaluated.
A submitted request goes to the manager’s review queue. Approval records an approval date. Rejection and cancellation remain separate outcomes; taken leave is another status after the approved period. HR Manager can review the schedule across a team while People Manager makes the person level decision.
How the work is organized
- Policy reference. Maintain leave types by country and employee class before requests use them.
- Decision. Review the request dates, available balance and documentation requirement with the named approver.
- Time capture. Keep weekly timesheets and daily entries together so reviewed hours have their source.
What to agree during setup
Agree how accrual balances are maintained and how often the as of date advances. Decide who corrects a balance and who reviews a request when the usual approver is unavailable. Documentation requirements vary by leave type; do not attach more sensitive detail than the reviewer needs.
For time capture, define which employees submit weekly timesheets and how the categories Regular, Overtime, Double Time and On Call are used. A time entry records its date and hours and may include a project or cost center. A timesheet has a week start, week end, employee, approver, status and total hours. Payroll Specialist should know which approved or posted state the pay preparation process uses.
Check the handoff on an actual case
Consider a manufacturing employee who requests leave across a scheduled pay cutoff. The employee enters the dates and selects the leave type. People Manager checks the balance as of its recorded date, the relevant rule and the team schedule, then approves or rejects the submitted request. HR Manager can see approved leave in the schedule. Payroll Specialist can check the decision alongside the pay period before preparing the run.
The same employee submits a weekly timesheet with a regular shift and an overtime entry. People Manager checks the entries and total hours before approval. If an entry needs correction, the timesheet can be rejected and reviewed again. Keep the weekly dates visible: approving a total without the time period can conceal an entry in the wrong week.
