What you can do
Prepare a run for the right calendar
Payroll Specialist starts with a payroll calendar that names frequency, entity, country, currency and cutoff days. A run then records the period start and end, pay date, run type and status. The employee record carries the payroll calendar and entity used to place that person in the correct pay population. A regular period, correction or off cycle run should be recognizable before anyone reviews totals.
The run holds employee count, gross total and net total. Individual pay statements link each employee to the run and record period, currency, payment method, status, gross pay and deductions. Statement lines preserve an earning, pretax, posttax, tax or employer amount with its code, quantity, rate, amount and possible jurisdiction. These records support a specific review of what makes up a statement rather than a check of the net amount alone.
How the work is organized
- Calendar. Agree frequency, cutoff, entity and currency before creating the first period.
- Review. Compare the run total to employee statements and inspect statement lines that need explanation.
- Filing. Track due date, jurisdiction, filing type, status and confirmation reference for tax follow-up.
What to agree during setup
Decide which employee and time records feed the pay preparation procedure. People Manager approves timesheets; Payroll Specialist checks the approved period before a run moves to pending approval. Define who makes the approval decision and who can post or mark a run paid. The approval record names an employee, so the team should align that person with the role responsible for the decision.
Tax jurisdictions hold country, authority and filing frequency. A tax filing links a jurisdiction and may link a payroll run. Agree who receives the authority confirmation and enters its reference after filing. The tax authority and payment rail are connections to establish under the customer’s process; a status entered in this workspace should follow the actual external result.
Check the handoff on an actual case
For a monthly run, Payroll Specialist checks the calendar’s entity and cutoff, then examines approved timesheets and any leave decisions affecting the period. The specialist prepares the run, inspects statement amounts and checks an unusual deduction at its statement line. HR Manager or the designated approver reviews the run while it is pending approval. After a confirmed payment, the team records the paid or closed state according to its operating procedure.
A related quarterly tax filing can be tracked by due date and jurisdiction. Payroll Specialist records the filing date and confirmation reference when the authority accepts it. If a filing becomes late or disputed, Tax filing deadlines keeps it visible for follow-up.
