What you can do
Move a pay period from calculation to closure
Payroll calendars define frequency, entity, country, currency and cutoff days. A pay run holds the period, pay date, run type, status and totals. Pay statements link each employee to a run, while statement lines carry earning, deduction, tax and employer amounts. Benefit plans and enrollments supply plan, tier, dates and contribution context. Tax jurisdictions and filings retain the jurisdiction and filing status.
Payroll Admin manages payroll and tax records and views employees, benefits, leave and timesheets. The CHRO / VP People can review the records but has read-only access in the configured role. The team should agree who gives independent payroll approval, how that decision is recorded, and who handles payment and filing outside the app. An approved run, a posted run and a paid run mean different things, so the handoff must identify the actual evidence for each.
How the work is organized
- Calendar. Payroll Admin selects the entity, country, currency and cutoff for each pay period.
- Statement. Each employee statement belongs to a run and has earning, deduction and tax lines.
- Release. The run’s approval, posting, payment and closure states are recorded separately.
What to agree during setup
Payroll Admin and Admin agree who reviews run totals and who records the approval. Check the calendar against the employee’s entity and currency. Decide when a correction uses a separate run and what payment evidence supports a Paid state. Benefits require a plan, coverage tier, effective date and contribution amounts; assign an owner to maintain those enrollments. Keep bank payment and tax remittance responsibilities with the named people handling those external steps.
Check the handoff on an actual case
For a monthly run, Payroll Admin selects the calendar and period, checks employee eligibility and reviews approved hours. Pay statements are checked against their line amounts and currency. The run can be marked pending approval for the decision, then Approved, Posted, Paid and Closed as each step is confirmed. A tax filing tied to the run records its due date, amount and eventual filed state. Payroll Admin checks any correction against the existing run before closing it.
At the end of the case, ask the person receiving the work to inspect the record, its owner and its status. If a date or reference is wrong, correct that source record before using a summary or report. Keep the original decision visible so the next person can tell why the change occurred.
What your team sees

- Pay statement periods — A focused list for the next review or handoff.
Follow the work through
