What you can do

Keep hours and absence ready for the pay period

A weekly timesheet belongs to one employee and spans a week start and end. time entries record a date, hours, category, optional project text and cost center. Employees can submit their weekly work, and the approver reference on the timesheet identifies the person who decides it. leave requests carry start and end dates, a leave type, status and approver. leave balances show accrued, taken, pending and carryover amounts as of a date.

Agree the weekly cutoff, how employees label project work in a text field, and which hours categories need close review. A consistent project label helps the team sort time entries by work. For leave, agree how the approver checks the available balance and required documentation for the leave type. The Employee role can manage its time and leave records; the actual approval authority needs to be checked against role permissions before the first cycle.

How the work is organized

  • Weekly record. The employee enters dated hours in a timesheet that names the week and approver.
  • Leave request. The employee records dates and leave type; the decision is checked against the dated balance.
  • Pay handoff. Payroll Admin reads approved weeks and leave decisions before preparing the pay period.

What to agree during setup

Employee, Admin and Payroll Admin agree when a week closes and which person reviews submitted time and leave. Check the approver’s record access before using that handoff. Use the actual leave type and its documentation rule when checking a request. Decide how to return a rejected week for correction and how the payroll team identifies the approved version. A project label on a time entry is free text; agree a consistent spelling if the team uses it to group hours.

Check the handoff on an actual case

An engineer records regular hours on Monday through Thursday and on-call hours on Friday. Each time entry points to the weekly timesheet, which carries the total and approval status. The engineer submits the week; the named approver reviews the hours and either approves or rejects it for correction. In the same period, the engineer requests two days of paid leave. The leave approver checks the date range, leave type and balance before recording the decision.

At the end of the case, ask the person receiving the work to inspect the record, its owner and its status. If a date or reference is wrong, correct that source record before using a summary or report. Keep the original decision visible so the next person can tell why the change occurred.

What your team sees

  • timesheets awaiting approval — The primary list for this work, with the owner and current status beside the record.
  • Leave calendar — A focused list for the next review or handoff.

Follow the work through

  • Time to pay: Rehearse the decision and the record passed to the next owner.
  • Implementation: Prepare the first operating cycle.
