Project-based teams
Teams organizing work around projects need to understand who is hired, where hours are recorded and which employee changes affect pay preparation. HRMS provides recruiting and employee records together with timesheets and time entries. Project and cost center labels on time entries give the team a shared way to describe where hours were spent. Agree those labels during setup. Connect project accounting separately if the team needs a financial handoff.
How HRMS is set up for you
Recruit against a real vacancy
Hiring Manager requests a position through the scoped recruiting action. Recruiter follows applications and interview records before an offer decision. Headcount and compensation review remain part of the hiring process even when the vacancy serves a particular project.
Review the hours behind the week
Employee records date, hours, category, project and cost center on time entries linked to timesheets. The assigned approver checks the weekly submission. Agree the names used in the text fields so a report does not merge unrelated work under an inconsistent label.
Keep pay preparation bounded
Payroll Admin reviews the active employee population and benefit deductions. Agree the intended pay treatment with the payroll owner before using recorded time for a payroll adjustment.
Follow employee development
Goals and performance reviews connect work to a cycle, while course enrollments and training records show assigned learning and retained completion evidence. Compare submitted, released and acknowledged work separately rather than using an unfinished review as a final performance result.

Pilot a department with a defined weekly time-review route. Verify Employee subject mapping, the manager-scoped approval action and the agreed project and cost center naming. Submit a timesheet with different category values and inspect the linked hours before preparing payroll. Include a rejected submission to show how unresolved work remains visible.
Then run a staffing request and a learning assignment for the same employee population. Confirm the position and department derived from the accepted hire, then review the manager assignment separately before the new hire records time. Use [leave and time](/hrms-suite/modules/leave-and-time) for the approval rehearsal and [external connections](/hrms-suite/integrations) to define any accounting handoff.

Roles on the team
- Hiring Manager
- Line manager opening a requisition and interviewing. Read only on Job Requisitions, Candidates, Applications and Interviews. Own-requisition record entry up to Status = pending approval cannot be expressed as a native table grant, so it is routed through the scoped requisition and interview-scorecard workflow actions instead. Never gets edit on Offers.Base Salary.
- Employee
- Self-service access to own record. Record entry on Leave Requests, Timesheets, Time Entries and Goals (draft); read only on Pay Statements, Benefit Enrollments, Leave Balances, Performance Reviews and Training Records. Own-record scope is required and is not expressible as a native table grant, so it must be supplied by the own-record table scope before these grants are relied on.
- L&D Admin
- Owns the course catalog, curricula and certifications. Record entry on Courses, Course Enrollments and Training Records; read only on Employees and Positions. No compensation, National ID or Date Of Birth access beyond the read-only grant; bulk curriculum assignment runs through the scoped workflow.
- Recruiter
- Owns the requisition pipeline from intake through offer. Record entry on Job Requisitions, Candidates, Applications, Interviews and Offers; read only on Employees for hiring-manager and referral context. No pay statement, payroll run, pay statement line, tax filing or benefit enrollment access.
- Payroll Admin
- Runs payroll end to end and owns tax filings and GL handoff. Record entry on Payroll Calendars, Tax Jurisdictions, Payroll Runs, Pay Statements, Pay Statement Lines and Tax Filings; read only on Employees, Benefit Enrollments, Leave Requests and Timesheets. No delete or bulk edit; filings stay at Draft.
