What you can do

Separate assigned learning from completed evidence

The course catalog defines learning content and certification requirements. An enrollment records an employee’s assignment and progress. A training record retains completed learning and its evidence. L&D Admin uses these records to distinguish work still due from a completed course or a certificate approaching expiry.

Employee creation assigns missing mandatory and compliance learning. This assignment belongs to the learning workflow so onboarding does not create another enrollment for the same required course. Arrange content delivery and certificate confirmation with the relevant learning provider, including the evidence that reaches the employee’s training record.

How the work is organized

  • Course definition. Each course has a category, delivery method, duration, competency and certification validity period, with mandatory and active settings. Categories include Compliance, Safety, Technical, Leadership and Onboarding. Delivery can use e-learning, classroom, blended or external arrangements.
  • Assignment progress. The enrollment connects employee and course with an assignment reason, due date, completion date and score. Enrolled, In progress, Completed, Failed, Expired and Cancelled distinguish the recorded outcomes and the work still requiring attention.
  • Durable evidence. The training record retains a title, provider, completion date, expiry date and certificate link. Valid, Expiring soon, Expired and Revoked describe the evidence’s recorded standing. Review dates and provider evidence together when deciding the next learning action.

What to agree during setup

Choose the mandatory courses for the pilot population. Review existing assignments before adding new-hire learning, and agree how role requirements or manager assignments are handled. Retain current enrollments when the same employee’s setup is checked again.

Agree how completion reaches the training record and what certificate evidence is required. Define expiry follow-up for L&D Admin and test it with a dated certificate. Configure the employee context available to L&D Admin, keeping compensation and identity details restricted. The provider or file owner should also control who can open a certificate at its destination.

Check the handoff on an actual case

Create a pilot employee who needs a mandatory course and inspect the resulting enrollment. Repeat the scenario with an existing assignment so the team can confirm required work is retained without another copy. Compare a completed enrollment with the training record, completion date and provider evidence.

Inspect a certificate whose expiry date has arrived, then compare a failed assignment and a revoked training record. Ask L&D Admin to explain the next action for each case. Test Employee access against another person’s training history and confirm the record remains private. Finally, open the certificate with an authorized account and check that the destination follows the agreed access policy.

What your team sees

  • Learning enrollment work — Review assignments, due dates, recorded scores and unfinished learning.
  • Certification expiry — Inspect retained training evidence whose expiration date has arrived.

Follow the work through

Use benefits and employee development for assignment and completion rehearsal. Define the initial learning scope during implementation.
