What you can do

Time and leave in daily work

Employees enter dated leave requests and weekly timesheets. Leave requests carry the leave type, dates, reason, documentation reference and approver. Leave balances separate accrued, taken, pending and carryover amounts. Timesheets group dated time entries so an approver can review regular and overtime hours in their week context.

A leave request names the employee, approver and dated absence. A timesheet names the employee, week and approver. Admin can review submitted requests against the balance and submitted time against dated entries. Payroll Admin reads the approved time before preparing the pay period; the two decisions remain separate.

How the work is organized

  • Request leave. Employee checks the leave type, balance date and requested start and end dates.
  • Review absence. Admin compares the requested days with the available balance before recording a decision.
  • Review hours. Employee submits dated time entries; Admin checks the week before approving the timesheet.

What to agree during setup

Agree leave types, accrual rates, carryover rules and who is the approver for each employee. Set the weekly time cutoff and explain when a rejected request is corrected and submitted again. Review the balance date before accepting a leave decision.

Agree who acts as approver when the employee manager changes during the requested period. Check that the balance date is current before deciding. Test an over-balance leave request and a timesheet with an entry outside its week. Admin records the decisions; Payroll Admin reads the approved period. Keep the employee identifier consistent in all three records.

Check the handoff on an actual case

An employee asks for several days away and submits a timesheet for the same period. The approver reviews the request dates against the balance, then records the decision. Payroll Admin checks approved time and the relevant payroll period before calculating pay. The request and timesheet keep separate states.

Admin opens Leave approval inbox and checks the employee, dates, leave type and balance before approval. For time, Admin opens Timesheet approvals and compares each dated entry with the week. Payroll Admin checks the approved time against the calendar period. If the employee or date is wrong, correct the request or timesheet before passing it onward.

What your team sees

  • My leave requests — Employee follows their own requests and decisions.
  • Timesheet approvals — Admin checks submitted weeks before payroll reads approved time.
