What you can do
Keep the pay period explainable
Employees enter weekly Timesheets and their time entries. A timesheet names its employee, week start and end, approver, total hours and status. Each entry adds a date, hours and a category such as Regular or Overtime. Payroll Admin can see the time records that inform a payroll cycle. The timesheet status distinguishes a draft from a submitted record, an approved record and one that was rejected or posted.
Payroll calendars defines a named pay schedule with entity, country, currency, frequency and cutoff days. Payroll runs holds the period, pay date, run type, calendar, status and totals. Pay statements connects an employee to a run and holds the period, gross pay, deductions and net pay. Pay statement lines supplies the earning, deduction and tax detail by category, code and amount. Tax filings tracks due date, amount, filing type, jurisdiction and filed status for a run.
How the work is organized
- Time. Employees record weekly hours, and an approver reviews the submitted timesheet.
- Run. Payroll Admin prepares a period under a named calendar and records its approval and posting state.
- Statement. Each employee statement keeps the run and line details together for review.
What to agree during setup
Define the pay calendars that correspond to the organization’s entities and countries. Confirm the cutoff and pay date practice, the person who approves a run and the point at which a run may be posted. Payroll Admin manages calendars, runs, statements and filing records; Employee can read their pay statement. The people who review a payroll run should see totals in the currency and period named on that record.
Choose how approved overtime and leave information reaches the run. A time entry category and hours explain the source time; a pay statement line gives the resulting amount and code. Tax jurisdiction and exchange-rate records should be maintained with a clear effective date before the team relies on cross-currency reporting. Bank payment and statutory submission belong to the appropriate connected services and operating procedures.
Check the handoff on an actual case
An employee enters a weekly timesheet with regular and overtime hours. The named approver reviews the week; Admin records Approved or Rejected. Payroll Admin selects the correct calendar and starts the payroll run for that period. The run record carries its pay date and gross and net totals. Payroll Admin checks the employee statement and its earning and tax lines against the period. The authorized person reviews the run before its status moves from pending approval to Approved; posting and payment are then recorded as later states.
Rehearse a rejected timesheet, an off-cycle payroll run and a tax filing with a due date. The team should be able to find which record explains each number and who must correct a disputed source entry. Preserve the original period and statement relationship when a correction is needed.
