What you can do
Payroll and benefits
Payroll calendars establish the pay schedule by entity, country and currency. A payroll runs row identifies the period, pay date, run type and current status. Each pay statements row belongs to an employee and a run, and pay statement lines distinguish earning, deduction, tax and employer amounts. Payroll Admin owns these records and can inspect employee, leave and timesheet context.
Benefits sit alongside payroll as plan and employee enrollment records. A plan describes its type, eligible class and contribution percentages. Enrollment records the employee, coverage tier, contribution amounts and effective dates. Tax filings connect a run to its jurisdiction, due date, amount and filing state.
How the work is organized
- Period. Use the payroll calendar’s entity, country, currency and cutoff with each run.
- Statement. Keep each employee statement linked to the run and its detailed lines.
- Obligations. Follow benefit effective dates and tax filing due dates separately from payroll payment.
What to agree during setup
Agree the pay calendar, eligible population and who may approve a run before setting it up. Draft, Calculating, pending approval, Approved, Posted, Paid and Closed are distinct statuses. Decide how the team reconciles statement lines and gross totals, how off-cycle work is identified and who records payment completion.
Review benefit plan eligibility and coverage changes with the people team. A Pending enrollment is not the same as an Active one. For taxes, agree which jurisdiction record owns each filing and where confirmation references are kept.
Check the handoff on an actual case
Take a monthly payroll period. Confirm the calendar, its currency and the run dates. Compare the employee population, approved time and benefit enrollments with the run’s employee count and gross total. Reconcile each deduction by line category. Have the authorized reviewer inspect the pending run before approval. Then inspect one employee’s statement and its earning, deduction and tax lines against the run.
After posting, follow the run through payment and the related filing through its own due and filed dates. A paid payroll run and a filed tax return are separate results, each with its own record and status. Recalculate take-home pay from earning and deduction lines before treating a statement as final.
