What you can do
Give every result a reporting cut
A workforce snapshot gives a people leader a dated result for one organization and one organization unit. The owner records the as-of date, checks the population, and carries the result through loading, validation, review and publication. A later reporting cut stays separate from the earlier one. That distinction matters when a transfer or departure changes the employee list after a report has been shared.
The Overview screen brings headcount, snapshot status, hiring and separation measures, and unresolved follow-up actions into the same discussion. Use it to find the reporting cut that needs attention, then open the underlying snapshot to inspect the owner, unit and date. A figure without those coordinates is difficult to compare with another period.
How the work is organized
- Scope. Choose the organization and the defined unit whose employees belong in the result.
- Time. Use the as-of date consistently for the population and the related movement measures.
- Authority. Keep the owner and reviewer decision with the particular snapshot revision.
Employees carries employment status, hire and termination dates, department, position and location. Organization units carry effective dates. The snapshot stores its own headcount, hire count, separation count, average headcount, hiring cost and privacy threshold. Measurement lines can add source references for the values being reviewed.
What to agree during setup
Agree which employee statuses count at a cutoff, how employee departments, locations and entities map to reporting units, and how transfers between units appear. Decide how the owner documents a revised figure and how reviewers compare a new revision with the one they saw before. Keep the reporting date visible in every discussion; a current employee list and an earlier snapshot answer different questions.
For a monthly discussion, the HR Business Partner (HRBP) can reconcile hires and separations against dated employment history. The named owner can then attach a supporting document or a reconciliation from another source. The reviewer should examine the same revision that will be published. If the measured population changes, prepare a new review decision for that revision.
Check the handoff on an actual case
Take a unit with a hire near the cutoff and a transfer after it. Create a draft for the earlier date. Check that the hire and transfer are considered at their effective dates, then compare the headcount and movement values with the employee and history records. Record the source of any adjustment. Move the result into review only after the measure lines and evidence can be explained. If the reviewer returns it, capture the reason and assign the follow-up before preparing a revised result.
