What you can do
Keep the next action attached to the case
An investigation may identify work that needs to happen after the episode. The Clinical Coordinator can create a follow-up action on the case, give it a title and due date, and assign it to a person. The status moves from Open to in progress as the assignee works. Completion carries a completion date. Escalated remains visible when the task needs attention beyond the original assignee.
The action belongs to the case, which helps the team see obligations across several investigations for the same person. The investigation’s own status can be Completed while a case follow-up remains open. Reading the two records together avoids treating an investigation’s closure as proof that every subsequent action is finished.
How the work is organized
- Ownership. The named assignee is the person expected to move the action forward.
- Timing. A due date gives the coordinator a way to sort urgent work; the completed date records the outcome.
- Exception. Escalated marks an unresolved action for explicit attention rather than hiding it among completed work.
A clinician can record a specimen state or measured observation and then raise a follow-up action on the case. Another person may be named as the next owner; check that person’s record permissions before expecting them to update it. Keeping the assignee and status together makes the transfer visible to the coordinator and reviewer.
What to agree during setup
Agree what constitutes a follow-up action and when a due date must be entered. Decide who updates an overdue action and when Escalated is appropriate. The title should describe the work clearly enough for the assignee to recognize it from the list without opening unrelated clinical records. The team should also define who checks that a completed action has a completion date.
Set a daily review of open and escalated actions. The coordinator can use that review to confirm that each action still has the right owner. A reassignment should be visible on the record, with the new person responsible for finishing the task. If an action is cancelled, record that state rather than using Completed to mean it was abandoned.
Check the handoff on an actual case
Create an action with a near due date and assign it to a clinician. Have the clinician find it in their own list and mark it in progress. In one rehearsal, complete it with a date. In another, escalate it and confirm that the coordinator still sees it in the open work list. Use a case with a completed investigation to ensure the remaining action stays visible after episode closure.
What your team sees
- Open follow-up — Open, active and escalated case actions ordered for coordinator attention.
- My follow-up actions — The clinician’s assigned actions, with due and completion dates.
Follow the work through
Read follow-up resolution for ownership and closure, then investigation review for the episode decision.
