What you can do

Client account context

Accounts hold the client name, code, contact name, address and eligibility note. Each account belongs to an organization. An agency manager can keep the client record active while producers use it as the counterparty on an opportunity.

How the work is organized

  • Record owner. Agency Manager owns account quality. Producer reads client context while working the opportunity. Admin maintains the organization.
  • Related work. The client account supplies the counterparty for an opportunity; compare its organization with the opportunity organization before assigning the producer.
  • Visible outcome. Check the account code and organization before giving the client case to a producer.

What to agree during setup

Agree how codes identify client accounts, how an inactive account is handled and who updates the contact name. The team should test this rule with a realistic client case and decide how corrections are recorded. Check that the people who prepare work can see what they need, while the person responsible for the decision has the correct access.

Check the handoff on an actual case

A producer opens a new opportunity for a client whose account has the current contact name and an eligibility note. The manager checks that the counterparty is the right account before the producer advances the deal. If the client has another opportunity, both still point to the same account; the producer can use the shared context without repeating identity details.

Before importing another client list, compare a sample account code with the agency’s existing identifier. If a client name changes, update the account that current opportunities reference instead of making a second account for the same client. Check the organization on the account and on its opportunities together. For an inactive client, agree whether the team may still inspect older opportunities and commission statements. This gives the manager a clear correction path when a producer finds a mismatch during a call.

For the pilot, have a producer find an account by code before creating the opportunity. Ask the agency manager to compare the contact name, eligibility note and organization with the source client file. Then open the opportunity and confirm its counterparty points to that account. A changed address belongs on the account so later conversations share the correction.
