What you can do
Statement review
A commission statement records its carrier, statement date, amount, policy number and organization. It also links to a parent opportunity. Draft, Submitted, Approved, Rejected and Completed provide a visible review position, while revision and decision date support later checks.
How the work is organized
- Record owner. Commission Specialist prepares and reconciles statements. Commission Reviewer decides submitted statements. Agency Manager monitors workload.
- Related work. The statement links to an opportunity and organization. Its policy number is text on the statement, so compare it with the carrier document during review.
- Visible outcome. Check the statement status and decision reason before the specialist takes the next step.
What to agree during setup
Agree which carrier document establishes an amount, who prepares the statement and who may make the independent decision. The team should test this rule with a realistic client case and decide how corrections are recorded. Check that the people who prepare work can see what they need, while the person responsible for the decision has the correct access.
Check the handoff on an actual case
A carrier statement arrives for a won opportunity. The commission specialist records the carrier, policy number and amount against that opportunity and submits it. The reviewer opens Statements to Review, checks the linked evidence and records a decision. If rejected, the specialist sees it on the Statement Worklist and corrects the record before another submission. After comparing an approved amount with the carrier source, the specialist can mark the statement Completed.
Use a sample carrier statement whose policy number and amount can be checked against the original document. The specialist should identify the right opportunity before submitting, because the decision and attachments use that parent case for context. If a carrier sends a corrected amount, keep the earlier decision visible and submit the revised record for another check. The manager should compare the completed list with the carrier confirmation used by the agency’s reconciliation practice.
The decision record belongs to the opportunity, so the reviewer must identify which submitted statement and revision the reason concerns. Before marking an approved statement Completed, the specialist compares its amount with the carrier source and records the decision date. Keep the supporting file on the same opportunity so another reviewer can reconstruct the check.
