What you can do

The operating picture

Operations Overview brings opportunity pipeline, weighted forecast, review load and failed operations into an exception queue. Its source records are opportunities, commission statements and operation receipts. Managers can move from the overview into the corresponding record list when a number or exception needs an explanation.

How the work is organized

  • Record owner. Agency Manager runs the review. Commission Reviewer handles submitted statements. Admin investigates failed operations.
  • Related work. Use the overview to open the opportunity, submitted statement or failed receipt behind a question; the receipt links to an opportunity.
  • Visible outcome. Open a source record for each exception before assigning its next action.

What to agree during setup

Agree who checks the queue, when a failed receipt needs investigation and which opportunity values and probabilities are ready for forecast review. The team should test this rule with a realistic client case and decide how corrections are recorded. Check that the people who prepare work can see what they need, while the person responsible for the decision has the correct access.

Check the handoff on an actual case

At the start of a weekly review, the agency manager opens Operations Overview and sees a submitted statement waiting for review plus an operation that failed. The manager opens the submitted statement for the commission reviewer and assigns investigation of the failure reason to Admin. The same meeting examines opportunities expected to close soon, using their owner and stage to ask for the next action.

A useful meeting starts with a specific exception, not a total alone. Open the failed receipt and read its failure reason and expected revision, then follow its parent link to the opportunity. Separately, open the submitted statement from the review load and identify the reviewer who will decide it. For the forecast, compare opportunity value, probability and expected close date with the producer’s last recorded activity. End the review with named owners for each unresolved item.

The weighted forecast uses opportunity value and probability, while the review load comes from statements awaiting a decision. Check the underlying record before acting on either figure. For a failed action, read the receipt result and failure reason, then inspect the linked opportunity. A receipt describes an operation outcome, not a carrier payment.
