What you can do

Prepare the physical handoff

Loads Board gives the clerk a load number beside carrier, dock door, seal number and status. Load Stops Schedule connects each appointment to a load and location through sequence and appointment date. Handling Units Register identifies the pallet or tote through license plate, with its item, location, quantity and custody owner. These records help the warehouse explain the physical context around an allocation.

Agree how the clerk associates physical work with the stock request during the handoff. Keep the load evidence and handling-unit identity available to Inventory Supervisor alongside the movement result. Record a departure when it actually occurs, then check the separately authorized stock action and its receipt before closing the operating case.

How the work is organized

Inventory Clerk maintains the operational records as physical evidence arrives. A load may be Scheduled, Arrived, Unloading, Loaded, Departed or Cancelled. A stop may be Planned, Confirmed, Arrived, Completed or Missed. Handling-unit condition and custody have their own states, including Held and Damaged. Keep those meanings separate when reviewing exceptions.

  • Appointment context. Check the stop sequence and appointment date before the load reaches the dock. Use Load Stops Schedule to identify the next stop needing follow-up.
  • Custody context. Record who has custody of the handling unit and where it is held. Keep that responsibility clear when another shift takes over.
  • Load evidence. Retain the dock door and seal number with the load. Agree any connection to the carrier’s system during setup.

What to agree during setup

Choose a representative load and its storage locations. Agree who records arrival and how a changed appointment is communicated. Review Load Stops Schedule with the clerk and define who follows up a Missed appointment. Keep the planned sequence visible while the team resolves a late arrival or a changed dock assignment.

Agree how the clerk identifies which stock request belongs to the physical work. Keep that association in the case evidence and compare the handling-unit quantity with the actual stock result. Reconcile the physical records and posted effects during the pilot, then ask another shift to explain the same handoff from the retained evidence.

Check the handoff on an actual case

A load reaches its dock after the appointment. Inventory Clerk records arrival date, reviews the stop and checks the handling unit’s location and condition. The handling unit is Held because the team needs to resolve its condition. The clerk must not conclude that it is eligible for reservation merely because the related physical delivery has arrived.

Inspect the relevant stock lots record and the actual request workflow separately. If stock is received through an approved operation, verify the posted effect and resulting lot quantity. If the load later changes to Departed, compare that physical evidence to the request and movement result instead of treating the label as a dispatch automation. Auditor should be able to explain which facts are directly linked and which were associated through the operating case.

What your team sees

  • Loads Board — Active loads with carrier, dock and recorded status together.
  • Load Stops Schedule — Appointments and sequence for the next location needing attention.
  • Handling Units Register — Item, quantity, location and custody condition for each license plate.

Follow the work through

Use load and custody handoff for the rehearsal and posting and verification for the stock result. Review connections in integrations.
