What you can do

Counts and adjustments in practice

A physical count is useful for valuation only when its population and expected quantity remain stable while people count. Warehouse Manager locks the scoped warehouse and assigns a counter. Count lines retain expected, observed and variance quantities; the reviewed difference can then become a bounded stock event and journal effect.

How the work is organized

  • Lock. Freeze the counted identity and the source snapshot for the count window.
  • Observe. Record counted quantity without replacing the original expectation.
  • Decide. Review quantity and value variance before posting an adjustment.

What to agree during setup

Agree the count scope, tolerance thresholds and who performs the independent review. The counter and approver should not quietly collapse into one action. Finance Manager needs the value effect before authorizing a material adjustment. Warehouse Manager should decide how an invalidated lock is handled before a new count starts.

Check the handoff on an actual case

Plan a warehouse count and lock its population. Have the counter find a lower quantity for one product and record the observation. Inspect the calculated value variance against the policy thresholds and the cost of the affected stock layer. Send the count to review. Only after the decision should a stock adjustment post, changing the position and leaving an event that can be reconciled to the journal.

What your team sees

  • My count schedule — See assigned count windows and their current status.
  • Counts awaiting review — Examine expected, observed and value differences before release.

The count reviewer should inspect both the quantity difference and its value. A small unit difference on a costly product may matter more than a larger difference elsewhere, which is why policy keeps quantity, percent and value thresholds. The locked population matters too: newly appearing stock in the counted scope cannot evade review merely because it was absent from the first snapshot. Once a decision is made, the posted adjustment must refer back to the count line. Accountant can reconcile its signed stock movement and journal without editing the observed quantity.

Rehearse a second count when the first lock is invalidated. Warehouse Manager releases the affected scope, starts a new lock and has Warehouse Operator record fresh observations. The new review should show the current expected quantity without altering the earlier count history. Finance Manager can then compare the proposed value change with the relevant threshold and authorize only the supported difference. Accountant checks that a retry of the posting refers to the original adjustment event instead of reducing the position twice.

Follow the work through

Follow the related process and check the data model when mapping your source records. During rehearsal, compare the source document, the decision and the resulting value effect. Keep the accountable person visible at each handoff.

What it keeps track of

Data model
Inventory counts
Blind scoped counts with explicit review and cost before adjustment.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Inventory positions
Current owned stock by complete identity and custody state; provenance is not a second balance.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Approval decisions
Authoritative human decisions independent of document lifecycle.

Who uses it
