What you can do
Establish who can act for whom
The organization is the operating boundary for banking instructions and account opening reviews. It records a name, code, active state, time zone and currency. Team members belong to an organization and link to users; each team member has an active state and role name. The Accounting Preparer and Accounting Reviewer need that scope before they can prepare and decide on financial work.
Business partners identify the banks, custodians and settlement counterparties eligible for banking instructions. Each partner belongs to an organization and records its contact, address and eligibility note. Ledger accounts then identify provider-held accounts owned by a partner, with a provider, external account identifier, currency and active state. The team can tell which external account and counterparty belong to the instruction it is reviewing.
How the work is organized
- Organization. App Administrator maintains organization identity and the team membership used to scope access.
- Partner. App Administrator records eligible banking counterparties and their contact context.
- Account. The operating team uses active provider-held accounts with the correct owner and external identifier for later matching.
What to agree during setup
Agree who creates an organization, who can activate a partner and who verifies an external account identifier. Decide how users are assigned to team members and when an inactive membership loses access. Set the organization time zone used for operational dates. Confirm the currencies supported by each provider account and who maintains the effective exchange rate records.
Separate configuration authority from approval authority. App Administrator can maintain membership and partner records, but an accounting review requires Accounting Reviewer entitlement and independence from the preparer. The Auditor’s read access should follow assigned records. The team should rehearse cross-organization denial before using a shared provider relationship across multiple legal entities.
Check the handoff on an actual case
Create an active organization and a business partner with a verified code and eligibility note. Add a provider-held account with the external account identifier and currency. Link an active Accounting Preparer and a separate Accounting Reviewer to the organization. The preparer creates an instruction for that partner; the reviewer sees only the eligible work and records a decision. Reconciliation later uses the same provider account identity for the movement.
Repeat with an inactive partner and an inactive team member. The team should prevent new operational work from silently using either. Try to open another organization’s instruction through a direct link. The user should be denied even if they can see a similarly named provider in their own organization.
