What you can do

Follow the working record

A mobile device moves between care areas. The engineer finds its asset tag, serial number, location and related service. The biomedical record supplies its device identifier, department, criticality and service due date. Assignment dates identify the previous and new custodians. A service link records the dependency and its verification date. The original asset identity stays stable through the move.

The base Asset carries the tag, serial number, location, service and lifecycle status. The biomedical assets record adds the device identifier, department, clinical criticality and service due date. Custody changes are separate assignment records, which keep assignment and return dates tied to a named custodian.

How the work is organized

  • Identity. The Biomedical Engineer matches the device identifier to the base asset tag and serial number.
  • Custody. An assignment identifies the custodian and dates; record the return before treating a transfer as complete.
  • Dependency. A service link names the supporting service, dependency type and verification date.

A department move can change location while the base asset identity stays the same. A retired asset should not appear as a currently assigned device without a deliberate correction.

What to agree during setup

Agree who maintains base asset status and who records the biomedical detail. Map the existing equipment identifier to a single Asset and check service ownership. Define when custody is assigned, returned and reviewed, and which team verifies service dependencies.

Include a device due for service in the pilot. Confirm the biomedical service date and the custody record refer to the same base asset. Decide how disposal approval and data wipe certificates will be retained if a device leaves service.

Check the handoff on an actual case

Rehearse a device move between departments. Find the device by its tag and identifier, inspect its present location and service, then record the outgoing return and incoming assignment against the same Asset. Verify the service link date before the receiving team relies on it.

Ask the receiving custodian to confirm the record. The engineer should be able to explain the prior and current custody from the dates, and the service manager should see which clinical service depends on that equipment.

When a device returns from service, compare the return date on its custody record with the next assignment date. The engineer can then explain who held it at a particular time. A service dependency has its own verification date; checking that date matters when the equipment has moved to another care area.
