What you can do

Protect stock already assigned to a request

A kitchen may have stock physically on hand that has already been held for another request. Each stock reservation records the reserved units, lot, request, expiry date and revision. Its status distinguishes Held, Released, Consumed and Expired. The reservation action checks free eligible inventory as lot quantity on hand minus active held reservations before accepting a new hold.

Stock lots retain the actual on-hand quantity and its eligibility state. A reservation preserves a claim on that quantity. It does not justify another receiving movement or prove that preparation consumed the ingredient. Follow the recorded request and movement effects when reconciling what remains.

How the work is organized

  • Eligible stock. Inventory Clerk selects the stock lot record for the intended request’s item and location. Available is a recorded lot state, but the workflow must still enforce its eligibility checks.
  • Held demand. A successful reservation writes stock reservations and a Recorded operation receipt result. A request larger than free eligible inventory produces a Failed receipt with the shortfall instead of an excessive hold.
  • Released claim. Correcting authorized request scope or cancelling it releases Held reservations through the correction action. Check the released quantity before promising that stock to another preparation task.

What to agree during setup

Agree how the team chooses a lot for each request, supplies expiry date for the hold and interprets reservation expiry. Define who resolves an expired hold and how the kitchen checks its recorded outcome. Rehearse that procedure with the clerk and supervisor, retaining the original reservation and operation result for review.

Inventory Supervisor compares the request’s posted signed movement with the lot balance, then reviews any remaining holds. Stable operation keys derive from the request and lot for reservation work. Preserve that identity during retries. A manually changed reservation status is not evidence that the correct stock effect occurred, and it should not substitute for the workflow’s quantity checks.

Check the handoff on an actual case

Rehearse an Available rice lot holding 40 kg with 15 kg already Held for another kitchen task. Ask Inventory Clerk to reserve 30 kg. Free stock is 25 kg, so inspect the Failed operation receipt for a 5 kg shortfall and confirm the rejected attempt leaves no additional hold.

Next reserve 20 kg for the request. Confirm the reserved units, lot, request and successful receipt; 5 kg remains free while on-hand stock stays at 40 kg. Repeat the same request-and-lot operation key and check that neither the hold nor its receipt is duplicated. Compare any later signed stock effect with the lot balance separately.

Before executing this rehearsal request, Inventory Supervisor cancels its authorized scope and verifies that its 20 kg hold becomes Released. With the other 15 kg hold retained, free stock returns to 25 kg. Earlier posted effects still require the separate reversal path if they need correction. Auditor should retain the earlier reservation and operation evidence throughout the rehearsal.

What your team sees

  • Held Reservations — Inspect held quantities and their request and lot references.
  • Available Lots — Inspect lots marked Available before checking their free eligible quantity.
  • Failed Operation Receipts — Follow shortfalls and rejected stock actions with their operation keys.

Follow the work through

Use reserve and release stock and rehearse the release path in correction and reconciliation.
