What you can do

Check the observations and documents behind a parcel decision.

The operator records each due diligence observation against its parent parcel, including a description, source reference, observed date and outcome. Evidence documents hold the attachment, document date, external reference and verification result. These links let a reviewer inspect the same parcel revision that the operator prepared. A rejected check gives the operator a concrete item to resolve before submission.

Each observation carries its own source record identifier and parent parcel, so a rejected line can be revisited without losing the rest of the case. The document record identifies who verified the evidence. A reviewer reads both the outcome and the document verification beside the submitted parcel revision. The operator can then assign a correction to a named person.

How the work is organized

  • Record each observation. Keep its source identifier, description and outcome with the parent parcel.
  • Verify the evidence. Attach the document and identify the person who checked it.
  • Assign a correction. Link follow-up to the same parcel when a finding needs work.

What to agree during setup

Agree which source references identify an observation and which evidence documents are required for the local process. Set the meaning of Pending, Accepted and Rejected for check outcomes. Decide who verifies documents and how a corrected attachment is retained so the reviewed revision stays intelligible.

Agree how an operator distinguishes a corrected observation from its original source record. Define who marks a document verified and what its external reference means. At review, the reviewer should be able to find the attachment and see the outcome of each check without interpreting an informal message from the preparer.

Check the handoff on an actual case

Take a parcel with one Accepted check and one Rejected check. The operator opens the rejected line, reads the decision reason, creates a follow-up action and attaches corrected evidence. On submission, the reviewer inspects the check outcome and document verification alongside the parcel revision. A new source reference should point to the corrected observation instead of hiding the earlier finding.

The reviewer should be able to point to the rejected observation and the document that resolves it. If the attachment or outcome changes after a decision, the earlier review still names the revision it covered. Ask the operator to prepare the changed parcel for another decision, with the original finding still available for comparison.

What your team sees

  • Pending due diligence — Lists parcel observations still awaiting an outcome.
  • Evidence to verify — Shows documents whose verification remains open.
