What you can do
Keep the receivable visible
When an organization bills a business partner for a lease arrangement, the AR Specialist creates a billing with the partner reference, issue date, due date, amount and tax. Billing lines describe each charge, its quantity, unit price, category and ledger account. The line subtotal and line count help the team review the document before sending it. The business partner record provides the billing contact and payment terms.
After the billing is marked Sent and its delivery is confirmed through the team’s communication process, AR follows the amount received and the balance due. A partially paid billing stays in its own status, so a team member can pursue the remainder without confusing it with a fully paid document. An overdue billing remains available in the saved list. A voided billing can be distinguished from one that should still be collected.
How the work is organized
- Prepare. AR checks the partner, organization, dates, line descriptions and charge categories.
- Send. The native send action guards the draft-to-sent transition and records an operation receipt.
- Collect. AR tracks received amounts and works partial or overdue balances.
What to agree during setup
Set the policy for partner reference numbers and the organization responsible for each billing. Agree whether a billing line should be grouped by charge category or shown separately. Choose the ledger accounts used for revenue and other charges, and review the available billing categories against the actual commercial arrangement before staff start entering live work.
Decide who may send a draft and what must be checked first. The send action records a receipt of the operation; staff should still agree how the final document reaches the partner and where proof of transmission is kept. Define how AR records receipts against the billing and how it handles an overpayment or a partial payment. The team should also agree how often to revisit overdue balances.
Check the handoff on an actual case
Create a billing for a partner due at month end. Include separate charge lines and compare the subtotal with the total amount after tax. Confirm that the billing points to the right partner and legal entity. AR uses the send action and checks that the document is Sent and the operation receipt identifies the send result. When the partner pays part of the amount, record the amount received and check the remaining balance in the register.
Now let the due date pass with a remainder. The overdue list should let AR find the item, see the original partner reference and contact the correct person. If the final receipt arrives, check the payment record’s inbound direction and link back to the billing. Keep the billing, payment and bank result separate so the history can be followed later.
