How a Legal Hold Management rollout works

Set up matter records, decision rights and preservation evidence in a small pilot.

  1. Agree the operating rules

Identify matter owners, conflict reviewers, hold preparers and independent hold reviewers. Decide when a new revision needs another decision.

  2. Map the source records

Clean organization, client, team member and matter identifiers. Link each existing hold to its correct parent matter.

  3. Configure access and views

Limit restricted subjects, document attachments and review decisions to staff with a reason to use them.

  4. Rehearse the case

Take an intake matter through conflict review, hold submission and independent decision. Record a pending receipt for a guarded action and reconcile its result. Include a returned review and failed receipt.

  5. Review the first cycle

Compare the Operations Overview with the underlying cases, deadlines and documents. Correct data and access rules before expanding.

What the customer provides

Provide organization and team member identities, the matter register, custodian naming rules, sample review evidence and examples of issue or collection acknowledgements. Identify the people authorized to decide conflicts, approve holds and release restricted information. Define which external communication and collection systems are used.

Changing it afterwards

Keep earlier decisions and receipts when a new revision or correction is recorded. Test a changed custodian instruction against the review rule. Recheck access after staff move organizations or responsibilities. Review the model and the hold process.
