What you can do

Keep the reviewed version visible

An attachment carries a title, evidence type, upload date, uploader and visibility. It belongs to an opportunity, so the reviewer can see the material in its engagement context. Internal and Shared visibility should be chosen deliberately. The team should agree what each means before adding sensitive documents. The attachment is evidence; the decision remains a separate record made by an eligible reviewer.

A Review Decision identifies the opportunity revision that was considered. It records Approve, Reject or Return, along with the reviewer, date and reason. That source revision prevents a later edit from inheriting an old approval without a new check. For guarded actions, an Operation Receipt carries the stable operation key, expected revision and result state. A receipt in needs review calls for investigation; a Failed receipt keeps the refusal visible. A pending receipt is a record of work still being checked, not a completed outcome.

How the work is organized

  • Evidence. The Relationship Owner attaches supporting material to the opportunity with an appropriate visibility.
  • Decision. The Sales Manager reviews the exact source revision and records the choice and reason.
  • Receipt. The operation result stays linked to the opportunity for reconciliation and audit.

What to agree during setup

Agree which evidence types are used, who may select Shared visibility and how a reviewer checks the attachment before deciding. Define the difference between a returned review, which asks for further work, and a rejection, which records a refusal. Agree who investigates a receipt that remains pending or needs review. A reviewer should compare the source revision on the decision with the opportunity revision before approving a close outcome.

When a correction concerns an already accepted action, preserve the original source identity and decision history. The team should be able to explain the successor action without erasing the earlier evidence.

Check the handoff on an actual case

A Relationship Owner attaches a client acceptance document to an opportunity and submits its current revision for a close decision. A Sales Manager reads the attachment, confirms the organization and counterparty, and records Approve with a reason against that revision. The owner records the won outcome. The operation receipt then shows whether the action completed or needs further review. If the owner changes the opportunity before the decision, the reviewer returns it for a fresh check. An Auditor can trace the attachment, decision and receipt from the opportunity.

What your team sees

  • Opportunity evidence — Review attachments by opportunity, type, visibility and uploader.
  • Review decisions — Read choices, reasons and exact source revisions.
  • Receipts needing review — Investigate operations requiring a manager’s attention.
