Who it's for

Academic libraries

A campus library that assigns requests to people across departments and locations. The library team can keep the branch and material visible from intake through independent review and delivery. A request has a named owner; linked requirements, supporting documents and status history explain why it moved forward.

How Library Management System is set up for you

Catalog ownership

A Library Administrator maintains materials and their branch and policy context.

Circulation work

A Library Circulation Operator prepares the request, gathers requirements and follows assigned corrections.

Independent review

A Library Reviewer records a decision against the source revision, with a reason and evidence reference.

Outcome trace

Processing runs and attempts retain result references; the request carries delivery information and follow ups.

A campus library that assigns requests to people across departments and locations. The library team can keep the branch and material visible from intake through independent review and delivery. A request has a named owner; linked requirements, supporting documents and status history explain why it moved forward.

Start with one location, its material codes and the people who own requests. Agree how campus identifiers appear as references on the case. Use one accepted and one returned request to establish the review handoff. A request for a named material should be readable by the next person without an oral briefing. Include its branch, owner, requirement outcome and any supporting attachment in the rehearsal.

Before extending the workflow, decide how external catalog IDs or issuance receipts will be connected. The records contain references and processing evidence for that handoff; the library should specify the upstream source and who resolves a mismatch. Check the [process](/library-management-system/processes/decision-delivery) and [data model](/library-management-system/data-model) with the staff who will operate it.

Features to start with

Roles on the team

Library Reviewer
Reviews independent assigned work: record entry on Loan Decisions only, read-only on every other table. Reviewers cannot approve their own preparation; the workflow guards enforce reviewer independence.
Library Administrator
Maintains approved configuration: record entry on Library Materials, read-only on all operational, review and provenance tables, and access to all four library pages. No schema editing, deletion, bulk operations or export grants.
Library Circulation Operator
Prepares assigned work: record entry on Loan Requests, Loan Requirements, Patron Follow Ups and Supporting Documents, read-only on configuration, review and provenance tables. Scope to authorized library branches is enforced by workflow guards.
Read Only Analyst
Reads authorized summaries and aggregates across every table plus the four library pages. No record creation or editing, no schema or administrative capability.
