What you can do
Establish the operating scope
A policy belongs to an insurer organization, an assigned team member and a policyholder. Those links identify who owns the next action and which entity carries the record. App Administrator maintains the organization and membership entries. Insurance Coordinator uses the policyholder record when preparing a policy. The eligibility note is part of that record, so the team can see the basis used when the policy was prepared.
The organization record carries a code, time zone, currency and active state. A policyholder has its own code, contact and address, eligibility note and active state. Team membership connects a named person and role to an organization and platform user. These records help the operations team keep policy ownership clear while the policy moves between preparation, review and issuance.
How the work is organized
- Insurer scope. Organization identity and active state keep the entity behind each policy explicit.
- Policyholder identity. Contact details and eligibility notes travel with the policyholder record used by the coordinator.
- Staff assignment. A team member connects a platform user to an organization and an assigned policy.
What to agree during setup
Agree which insurer organization each team member serves, who maintains policyholder codes, and how an eligibility note is reviewed before policy creation. Set a consistent time zone for date-sensitive work. Decide how inactive organizations, policyholders and team members are handled in day-to-day assignment. The owner on a policy should be a real team member so an assigned case has someone accountable for preparation and follow-up. Review the App Administrator’s access with a policyholder and a staff account from the pilot organization.
Check the handoff on an actual case
Start with an active organization and an active policyholder. Confirm the policy’s organization and counterparty point to those same records. Assign an Insurance Coordinator through the team member record and check that the owner is visible in the lifecycle screen. Pass the policy to an Authorized Underwriter for the independent revision decision. The underwriter’s review should stay distinguishable from the coordinator’s preparation. If a policyholder contact changes, update the policyholder record and examine the linked policy before taking the next action. When an auditor follows the record later, the organization, owner and policyholder should still be clear.
What your team sees
- My policy assignments — Give each coordinator an owner-focused list of policies to prepare and follow.
- Lifecycle and issuance — Keep the policyholder and owner visible alongside the policy state.
Follow the work through
Use policy review and issuance to test the owner and reviewer handoff. The roles page helps rehearse access before launch.
