What you can do
Keep the lot visible when feed is used
Feed Custodian maintains each feed stock lot with its name, lot number, unit, quantity on hand and expiry date. The lot is the reference used when Field Operator records feed consumed by a pasture task. This connection lets Pasture Manager ask which lot supported a piece of field work and how much was recorded against it.
A use record has a quantity, use date, linked stock item and linked task. The task supplies the pasture and cycle context. Feed Applications are separate dated records of feed applied to a pasture by a named team member; they carry their own feed name, quantity and unit. The farm should decide when both types of record are needed for the same physical event so the reporting question stays clear.
How the work is organized
- Identify stock. Keep feed name, lot number, unit, expiry and quantity on hand on the stock record.
- Record consumption. Link the consumed quantity to the lot and the task that used it.
- Review application. Record a dated pasture application with the actual applicator and unit.
The custodian checks unit consistency before comparing quantities. A quantity in one unit cannot be silently added to a quantity in another. The expiry date gives a concrete review queue, while the on-hand balance is the value recorded on the lot. A usage entry should be reconciled with stock changes according to the farm’s operating policy.
What to agree during setup
Agree who creates lots, who records usage and who corrects an error. Decide whether the lot number is supplied by a vendor or by farm staff, and what to do when an expiry date changes. Specify whether a Feed Application and a Feed Usage entry represent the same physical action in a given workflow; otherwise reports may be read as two events.
Feed Custodian and Pasture Manager should define a review of expired lots and unusually large consumption. The data records quantity and date, so the team can inspect the case before approving another feeding task. Agree how the custodian updates the lot balance after recorded use and how duplicate entries are corrected.
Check the handoff on an actual case
Take a lot with a known unit, on-hand quantity and future expiry date. Pasture Manager approves a feeding task for a named paddock and cycle. Field Operator records the actual quantity used against the lot and task. Check that the usage date, unit and task context tell a coherent story. If an application is also recorded, compare its pasture, applicator, quantity and unit to the task use.
Then try a lot near expiry and a second lot with a different unit. Have Feed Custodian decide which one may support the work and document the choice. Review the remaining stock value before another task is approved. This case tests the practical handoff between the field and the person maintaining lots.
What your team sees
- Expiring Feed Lots — Lots due for custodian review before further use.
