What you can do
Put the intended movement into a reviewable record
The instruction is the working record for a provider-facing banking action. A Credit Officer enters its subject, requested amount, organization, counterparty and value date, then owns its preparation. The instruction carries a status and revision so the Independent Credit Approver can decide on a specific submitted version. Supporting documents stay attached to that same record rather than floating in a separate inbox.
The debit and credit scope identifies the provider-held accounts and amounts that make up the intended movement. Review those lines as a whole. A requested principal amount on the header helps a reader understand the case, but the account scopes explain what would actually move. The team should compare the two before review and retain the same source identity when a correction is requested.
How the work is organized
- Instruction header. Keep the record number, subject, amount, value date, owner, organization and counterparty together.
- Account scope. Record debit and credit directions with amounts and provider-account references.
- Evidence packet. Attach the supporting documents with upload identity, time and visibility for the reviewer.
What to agree during setup
Choose a clear convention for instruction subjects and record numbers so staff can find a case without relying on a provider identifier that arrives later. Agree which supporting documents the Credit Officer must attach for each type of instruction and who can see material marked internal or shared. Determine how the team checks the requested amount against the debit and credit scope, including cross-currency cases where the effective exchange rate matters.
For a lending operation arranging a transfer through its banking provider, decide when the value date becomes firm and who can request a change after review. A change to the instruction after a decision is a new revision for review. Do not preserve an approval against content the approver did not see. Once the provider has accepted or executed scope, correction needs the original provider identity and a reviewed compensating action.
Check the handoff on an actual case
Prepare a draft instruction for a known counterparty with a value date, amount and supporting attachment. Add the debit and credit entries against the intended provider accounts. Ask a second person to read the whole case, including attachment visibility and account ownership. The owner should submit the current revision into review; the reviewer should see the same revision and the decision record tied to the same instruction.
If the reviewer returns or declines the case, the Credit Officer should correct the instruction and bring it back through review. If the instruction has already gone to the provider, the team should locate the provider instruction identifier and receipt before changing anything. An apparent duplicate submission must be checked against the stable operation key and existing effect before another external action is considered.
What your team sees
- My instructions — The officer’s assigned instructions with status, dates and counterparty for daily preparation.
- Instruction status board — A date-free view of work across draft, review and provider outcome states.
Follow the work through
