A Relationship Activity is a line in the history of one opportunity. Its type may be Call, Meeting, Email or Task. A due date can put follow-up on the team’s list; a completed date and outcome describe what happened. The line number keeps entries in order, while the revision ties activity evidence to the opportunity state under discussion. This record gives owners a way to explain why an opportunity is qualified or ready for a customer outcome.
The Relationship Owner should capture the outcome of a completed contact in plain language. A meeting that only has a date does not tell a reviewer whether the shipper accepted the proposal, asked for a change or ended the discussion. For a task, the due date and completion date show whether follow-up has happened. Sales Managers can read these entries when assessing a proposed stage change, and Auditors can trace the basis for an eventual result.
How the work is organized
- Type and timing. The activity type identifies the channel; due and completed dates separate planned follow-up from finished contact.
- Opportunity link. Every line belongs to its parent opportunity, keeping the relationship history available during review.
- Recorded outcome. The outcome states the result of a call, meeting, email or task in words the next owner can use.
Suppose a shipper discusses regular weekly loads and asks for a revised lane basis. The owner logs the call with that outcome and sets the next task due before the quote validity date. When the manager opens the lane review, the activity explains why the origin, destination or load estimate changed. The manager does not need to infer the request from a new value alone.
What to agree during setup
Agree when a relationship contact should become a new activity line and how quickly owners should record its outcome. Set the rule for tasks that have a due date but no completed date. Decide what evidence counts for qualification, proposal submission and a Won or Lost result. The entry should be specific enough for an independent reviewer to understand the customer event without relying on the owner being present.
Keep sensitive files in the attachment record with the appropriate visibility value. A relationship activity can refer to what happened, while the attached file holds the supporting document. Agree who may use Shared visibility and when Internal is appropriate for a review note.
Check the handoff on an actual case
Use an open opportunity and log a Call with an outcome about a shipper requirement. Add a Task due before the expected close date. Complete the task and record the result. Ask a Sales Manager to review the opportunity and identify the latest contact and next action. Then check the due task view for unfinished work whose due date has arrived. If a customer outcome is being reviewed, the manager should be able to point to the activity that supports acceptance or loss.
