What you can do

Make the custody change explicit

Warehouse Lead records the movement from warehouse custody to the driver against the parent load. The handoff carries a warehouse name, handover time, pallet count, driver text and operating organization. These details let the receiving team later distinguish a planned load from goods physically passed to a driver.

The handoff moves from draft to submitted for review. Review Manager decides whether the recorded custody details are acceptable and records the decision with a time and reason where a separate load review is needed. Approved and rejected are distinct outcomes. Completion records the handover as finished; it should follow the physical event rather than an expected departure time.

A load can also carry attachments with internal or shared visibility. Pickup Coordinator can attach supporting files to the load for the review team. The attachment stays linked to the load, so a later exception investigation can inspect the handoff together with pickup checks, stops and operation receipts.

How the work is organized

  • Physical handover. Warehouse, driver, pallet count and time describe who took custody.
  • Review state. Submission and approval distinguish preparation from a decision.
  • Load link. The parent load keeps custody evidence connected to the delivery promise.

What to agree during setup

Agree which warehouse name is used across shifts, who enters the pallet count and when the handover time is recorded. Define who reviews a submitted handoff and what evidence is required for a rejected one. Decide whether the driver text should match a roster entry during operating checks; the custody record itself stores the driver as text.

Check the handoff on an actual case

A farm load reaches the collection center with a confirmed assignment. Warehouse Lead counts the pallets that will pass to the driver, records the warehouse and handover time, and submits the custody record. Review Manager compares the handoff with the parent load and attached evidence. If the driver changes before release, correct and resubmit the handoff rather than treating the earlier approval as covering a different transfer. Once the actual transfer occurs, complete the handoff. A later reader should see the approved account of custody and the actual time without inferring it from load dispatch alone.
