How a Machine Maintenance (CMMS) rollout works

Rehearse a real maintenance cycle before expanding the equipment and team scope.

  1. Choose the pilot equipment

Select an identifiable machine with an understood maintenance task. Confirm the asset tag, serial number, location and operating state with the Maintenance Manager.

  2. Prepare people and access

Match user accounts to the intended people. Assign the maintenance responsibilities and agree Admin and purchasing access during setup. Test the Technician and Maintenance Reviewer with separate accounts.

  3. Establish the maintenance basis

Check the preventive plan's evidence and next due date. Choose a condition metric and unit the team can reproduce. Confirm part identities, units and recorded opening quantities.

  4. Run the repair handoff

Create a request, approve its permit and schedule the assigned Technician. Capture labor and part usage, submit inspection and inspect the accepted service outcome with the reviewer.

  5. Check recurring work and connections

Rehearse the due-plan scan and its retry behavior. Confirm the assigned person, source-order links and any external handoffs before extending the asset register.

What the customer provides

Bring an equipment list that someone can verify against the machines, an active staff list, maintenance-plan evidence and the part catalog for the pilot task. Provide examples of the permit procedure, an accepted repair and an outcome that required correction. Identify who approves maintenance work, who reviews completion and who owns any purchasing connection.

The Maintenance Manager should agree the first operating cycle with the Technician and Maintenance Reviewer. Review the 30-day next-due default on accepted service and confirm that the pilot schedule uses it appropriately.

Changing it afterwards

Treat an altered preventive interval as a reviewed successor with the earlier evidence retained. Rehearse permission changes with the affected people before using them on live work. When a connection changes, repeat its duplicate and reconciliation checks. Use the data model to keep asset and work-order references intact during imports or corrections.
