What you can do

Prepare the parts behind the repair

The Maintenance Manager checks the parts catalog before committing to a repair. Each part carries its number, name, unit, recorded quantity on hand and reorder point. During execution, the Technician records the quantity used against the work order. The repair and its consumed items can then be examined together during inspection.

Maintenance purchasing carries the asset, vendor, item or scope, quantity and commercial details. A purchase can also identify a spare part. Newly created purchase orders and work orders receive linked entries in the shared order register, giving the team a way to find their source records during purchasing and maintenance follow-up.

How the work is organized

  • Parts review. Compare the recorded quantity on hand with the reorder point. Confirm the part number and unit before deciding what to buy or use. Similar names can conceal different sizes, packages or units that matter at the maintenance handoff.
  • Work consumption. The Technician records part usage against the actual work order, including the quantity and usage time. The Maintenance Reviewer can follow the repair evidence to the consumed item when assessing whether the reported intervention is complete.
  • Purchase follow-up. Use the asset-linked purchase to track the vendor, expected delivery and recorded receipt. Ordered, Partially Received and Received distinguish delivery progress. Agree the Manager’s purchase-entry access during setup and identify who keeps delivery details current.

What to agree during setup

Choose the unit for each catalog item and reconcile the opening quantity with the team’s source inventory. Decide who owns quantity corrections and how protected balances are maintained. Agree the purchasing handoff, including who prepares the commercial document and who records delivery under the configured access policy.

Use the original purchase order for current delivery details. The shared order register creates links when orders are first created; the purchasing conversation should return to the source order for subsequent changes. Supplier transmission, payment processing and stock reconciliation from receipts are connections or setup decisions to resolve with the systems that own them.

Check the handoff on an actual case

A conveyor repair needs a replacement belt. The Maintenance Manager checks its part number, unit and recorded quantity before scheduling the job. If another belt is needed, the purchase identifies the conveyor, the intended spare part, the vendor and expected delivery. Under the access agreed during setup, the Manager checks the purchase details against the maintenance requirement before recording the supplier commitment.

When the Technician uses a belt, they record its quantity against the repair work order. The Maintenance Reviewer checks that entry alongside the labor description before accepting inspection. Open the new purchase’s shared order entry and confirm it leads back to the intended source. Change the purchase delivery date and rehearse the team’s follow-up from that source record so the planner knows which date to trust.

What your team sees

  • Parts to Review — Catalog items whose recorded quantity has reached the reorder point.
  • Purchase Draft Inbox — Draft maintenance purchases with the asset, vendor, quantity and amount ready for the agreed purchasing review.

Follow the work through

Use parts and purchasing follow-up to rehearse the source-order handoff and execution and inspection to check consumption evidence.
