What you can do

Keep the result with its session context

A belt assessment records the discipline, assessment date, participant count and result. The result is Pass or Retry. The assessment points to a booking, so a reviewer can see which member and session provided its context. The Front Desk Agent can manage assessment records; the Property Manager can manage them too. The Operations Reviewer has view access to inspect the evidence and ask the staff owner to correct an inconsistent record.

The assessment number identifies the individual result record. Use it when a member asks about a prior evaluation, especially if the same booking has more than one related activity. A result should be entered against the intended reservation, not just a familiar member name. The linked booking keeps the session and date available for the review.

How the work is organized

  • Assessment evidence. Record the discipline and assessment date that explain the result being reviewed.
  • Booking context. The booking reference ties the result to the member and session without duplicating those records.
  • Result review. Pass and Retry communicate the assessment outcome; Operations Reviewer checks the result against the linked booking and attendance.

What to agree during setup

Decide who assesses each discipline and what evidence staff should inspect before recording Pass or Retry. Agree how a mistaken result is corrected and who records the correction. Define how the reviewer tells the Front Desk Agent what needs attention. If several participants share a booking, agree whether the recorded participant count represents the full group or one assessment event. Avoid treating a single result field as a roster of individual outcomes.

A member may complete an ordinary class and then have a belt assessment on the same visit. Staff should retain the class booking as the common point of reference. The Front Desk Agent checks that the chosen booking belongs to the member and session being assessed. The reviewer can read the linked attendance and booking context, then identify any incorrect link or result for correction. Keep the original date and booking visible when discussing the result with the member.

Check the handoff on an actual case

Open a confirmed booking for an assessment session. The Front Desk Agent records the discipline, date and participant count, then enters Retry. The Operations Reviewer reads the assessment and its linked booking. If the member returns later, create a new assessment against the appropriate later booking rather than overwriting the earlier result. The record sequence should let staff explain both outcomes and the sessions in which they occurred.
