What you can do

Keep the promise visible

A booking joins a member to a session and records the requested start, end, places and rate. Its status tells staff whether the request is still waiting, has been confirmed, was attended, is complete or was cancelled. Use the reservation number when speaking with the member; it keeps a specific class commitment separate from the member’s other activity. A member can have multiple bookings, so staff should open the one with the right session and date before changing its state.

The Property Manager manages bookings. The Front Desk Agent can view them while recording attendance and assessment evidence. This division helps keep the booking decision with the person who owns capacity while giving the front desk enough context to serve the member. The Business Overview page brings booking status controls and recent evidence into one operational starting point.

How the work is organized

  • Request. Record the member, chosen session, interval, places and rate while the reservation is Requested.
  • Commitment. Check capacity and conflicting dates before moving a reservation to Confirmed.
  • Follow-through. Attendance and later work retain the same booking link through completion or cancellation.

What to agree during setup

Define which staff member may confirm requests, how overlapping intervals are checked and when a requested rate becomes final. Agree how cancellations are handled once a session has started. The booking record has a status, but it does not replace the studio’s policy for refunds or rescheduling. The Finance Officer should use the linked payment record when a financial correction is needed.

A useful daily check is to compare Requested bookings with Confirmed ones on the schedule. If the same session appears twice in the same interval, the Property Manager resolves capacity before telling either member their place is held. If the member changes plans, keep the original booking identifiable and record the intended new request clearly.

Check the handoff on an actual case

A member requests a class for two places. The Property Manager verifies the member, the session’s capacity and the requested dates. After confirmation, the Front Desk Agent sees that reservation in the booking schedule and uses it for the attendance task. If the same member enters a tournament, the entry points to the existing booking. Finance Officer can review its payment and service records without losing the class context. At close, the manager sees the reservation’s current status and the related evidence before marking it Completed.

What your team sees

  • Booking Status Board — Move among requested, confirmed and attended work without losing the member and session context.
  • Requested Bookings — Review requests awaiting a capacity decision.
  • Booking Schedule — Inspect dates and places before making a commitment.
