What you can do

Start with a person the team can reach

A booking is useful only when the studio knows which member it belongs to. Keep the member’s name and current contact details together so the Property Manager and Front Desk Agent can resolve a request without guessing between similar names. The member record has a stable number, while the booking carries its own reservation number. Use those identifiers when a parent, member or instructor calls about a specific class date.

A plan record holds its name, price, effective dates and validity duration. It gives the studio a place to maintain the terms it offers. Agree which plan is current before quoting it. A plan is a reference for staff decisions; the booking records its own rate, places and dates. When a plan changes, check the booking’s recorded rate rather than assuming every existing reservation should change with the plan.

How the work is organized

  • Member identity. The Property Manager maintains a name and contact route that staff can use to distinguish members.
  • Plan terms. The studio records a plan name, date window, price and validity duration for staff review.
  • Booking context. Each reservation links the member to a session, keeping the actual places and rate with that reservation.

What to agree during setup

Decide how staff will recognize duplicate member records and who corrects contact details. Agree when plan terms become effective, how a plan’s duration is interpreted and who can revise a published price. Property Manager manages members and plans; Front Desk Agent views them when handling attendance. Assign access maintenance to the right studio administrator.

A member may ask about a new evening session while an older booking remains on file. Staff should find the same member, review the current plan terms and create the new booking against the intended session. Keep the original booking’s rate and status visible so the studio can explain any difference in price. If the request includes more than one place, check that count against the session capacity before confirming.

Check the handoff on an actual case

Take a member who changes a phone number before a belt assessment. Update the member contact record, then open the linked booking and confirm its session and date. The assessment stays attached to the booking; it does not need a second member identity. Ask the Front Desk Agent to find the member using the directory and then navigate to the reservation. The Property Manager should be able to explain which plan terms were current when the reservation was made.
