What you can do

Make the session a reliable choice

Each session has a name, type, capacity and operating status. The Property Manager uses those details to decide which session can receive a member booking. An available session is the starting point, but its status alone does not answer whether the requested dates and places fit. Review the booking schedule as well before confirming a request. The booking retains its own start and end dates, which matter when the same session appears in more than one request.

The session status can be Available, In Use, Cleaning or Maintenance. Those values help staff understand the current operating state. A request should not be confirmed against a session that staff have set aside for cleaning or maintenance. Where two requests cover the same interval, compare the places with capacity and resolve the conflict before telling members their place is secure.

How the work is organized

  • Session definition. Property Manager maintains the name, type and capacity that staff use during booking.
  • Availability. The status identifies whether a session is ready for new work or occupied by operational activity.
  • Reservations. Bookings carry their own dated intervals and place counts, linked back to the chosen session.

What to agree during setup

Agree what one place represents for each session type, and whether a family booking can hold several places. Decide who moves a session into Cleaning or Maintenance, and who returns it to Available. The team also needs a clear rule for interval overlap: if a session is used for a single class, treat each start and end pair as the commitment to review. If it represents a recurring class, define the booking convention before the first cycle.

The current session record has a capacity value, while the booking has places. Staff can compare the two. Do not rely on a colored status alone when several bookings use the same session; inspect all relevant requests on the schedule. A member may request two places just as another booking is confirmed. The Property Manager should examine both before accepting the later request.

Check the handoff on an actual case

Start with a session marked Available and a capacity of ten. Enter a booking request for four places and another for seven during the same interval. The Property Manager reviews the schedule, sees the combined demand exceeds the session capacity and resolves the requests before confirmation. Then mark the session In Use for the active class and verify the front desk can still find the correct booking for attendance. After the class, the manager chooses the appropriate operating state for the session.
