What you can do
Keep the event entry traceable
A tournament registration records an event name, date, amount and status against a booking. It can be Registered, Confirmed or Withdrawn. The booking link provides member and session context for the entry. Finance Officer can manage these records, while Property Manager can view them alongside the reservation. That division lets the financial owner check the amount and reference before the studio treats the entry as settled.
Use the registration number when discussing an event with a member. Two members can attend the same tournament, and one member can have several bookings. The event name alone does not identify which entry changed. Keep the event date with the registration so the team can distinguish separate editions of a recurring tournament.
How the work is organized
- Event identity. Tournament name and event date identify the planned participation.
- Member context. The linked booking points back to the member and session connected with the entry.
- Entry state. Registered, Confirmed and Withdrawn tell staff which entries still need follow-up.
What to agree during setup
Agree who enters tournament amounts and who decides when an entry moves to Confirmed. Define the meaning of Withdrawn, especially if a payment has already been received. The payment record has its own status, so a withdrawn registration must be checked against finance rather than assumed to be refunded. A Finance Officer can review linked payments and should retain the original registration reference when correcting an amount.
The team should also decide whether each participant needs a separate registration. The record has one booking reference and one amount; a single event entry should be described consistently to members. If a booking covers several places, staff must decide how those places map to tournament participation before confirmation. Keep that rule in the studio’s operating procedure.
Check the handoff on an actual case
A member with a confirmed class booking wants to enter a weekend tournament. Finance Officer selects the correct booking, records the tournament name, event date and amount, and leaves the entry Registered until the studio’s decision is complete. The Property Manager can see the linked entry from the booking context. If the member withdraws, change the registration to Withdrawn and review any associated payment separately. The prior event details remain available for an explanation.
