What you can do

Establish the stock available to the plan

Stock already reserved for another commitment changes the material plan. Production Planner reviews on-hand and reserved quantities by item, location and lot before arranging more supply. The MRP run uses on-hand less reservations, so the warehouse discussion starts with the quantity available for the requirement being reviewed.

Agree the warehouse connection during setup. The planning team reads the balances and asks the stock owner to explain corrections or changed reservations. Use a known stock cutoff when comparing a result with the physical warehouse so the team understands which movements are included.

How the work is organized

  • Read the balance at its location. Keep the item, location and lot together during shortage review. Ask the warehouse owner to confirm the stock the team intends to use before combining balances across locations.
  • Subtract existing reservations. Compare on-hand stock with the reserved quantity. Keep zero and negative available results visible in the planning report, including balances whose on-hand quantity is positive.
  • Reconcile material issues. Production Operator records the item, lot and quantity used for a work order. Compare issues marked Posted or Reversed with the warehouse connection and confirm the corresponding physical movement.

What to agree during setup

Agree who owns the stock snapshot and reservations, when the quantities are valid and how a correction reaches planning. Check the item unit against the warehouse source before importing balances. Retain the source lot identity when the warehouse supplies lot-level quantities, then reconcile the combined quantity with that owner.

Decide how the planner raises a discrepancy. Identify the person who can check the physical stock, explain a reservation and approve a source correction. Rehearse the chosen import or connection before relying on unattended updates. An unresolved balance needs investigation before the team accepts another material commitment.

Check the handoff on an actual case

Review a component with 120 on hand and 70 reserved at the intended location. That leaves 50 for planning. A requirement for 80 leaves 30 to investigate before considering other dated supply. Open the source balance with the warehouse owner and confirm the reservation belongs to an existing commitment.

Now review a balance with all stock reserved and another where reservations exceed on-hand stock. Use Stock available for planning to keep both results in the discussion. If material has moved since the accepted cutoff, obtain the updated source quantities before reviewing the next run.

Compare a Posted material issue with the physical issue evidence. Rehearse a Reversed issue and confirm how the warehouse owner records the correction. Check the source balance again before accepting the resulting availability. This case gives the operator and planner a clear handoff when recorded production activity and the warehouse snapshot differ.

What your team sees

  • Inventory availability — Positive on-hand balances with reservations, location and lot alongside the item.
  • Due MRP exceptions — Dated issues to compare with current stock, including the recorded resolution date.

Follow the work through

Reconcile stock before Demand to MRP review. Use Exception investigation when planning and warehouse evidence disagree.
