What you can do
Close the stay with an explained account
Checkout starts with the guest’s folio, not just the resource calendar. Finance Officer reviews posted charges and confirmed receipts for the food batches stay. If the amounts leave an open balance, the team must acknowledge the outstanding account. Pending payment entries do not settle the account, and moving the reservation to checked out does not confirm them.
Property Manager reviews the reservation before closing it. The manager can see the party and resource linked to the stay and the service tasks that may still matter. Front Desk Agent uses the resulting checked-out state when answering guest questions and preparing the next arrival. The folio and receipt records remain connected to the historical stay after the room is released.
How the work is organized
- Account review. recipe lines and menu cost snapshots provide charges; ingredient lots records payment status.
- Checkout. food batches carries the stay’s checked-out state.
- Readiness. Recipes moves through cleaning before availability, with batch consumption recording the assigned work.
What to agree during setup
Define who reviews an outstanding account and who can complete checkout after that decision. Agree what counts as a passed cleaning inspection for each resource type. Housekeeping should record the work, while Property Manager controls the decision to return the resource to available service. A treatment room or venue may need a different inspection than a guest room; use the same clear ownership of the state change.
Pilot a checkout with one posted charge, one confirmed payment and a cleaning task. Then rehearse a pending payment and an incomplete inspection. In both cases, staff should see the unresolved work and avoid giving the next guest a resource that has not passed inspection.
Check the handoff on an actual case
A guest leaves after a two-night stay. Finance Officer checks the posted folio and confirms which receipts were actually received. Property Manager acknowledges any open balance and the front desk closes the reservation. The resource changes from occupied to cleaning. A staff member completes the cleaning task, and the manager inspects the room before setting it available again.
If the inspection fails, the room remains in cleaning while the team corrects the problem. If a payment is still pending, the team keeps that status and reconciles it later rather than treating checkout as proof of collection. The stay, service task and resource state together explain why the room is or is not ready for the next booking.
