What you can do

Know who belongs to the stay

The booking party may be an individual guest, a group or a company. A single party can appear on several stays, so its contact details belong on its own record rather than in an unstructured note on a reservation. Property Manager uses that identity to find the correct stay at arrival or when a guest asks about an outlet booking. Property Manager can review the same party across the stays they manage.

Staff identity has a different job. People contains the staff member’s name, role title, active flag and linked user. A service task references the person responsible for it. That link lets the manager see which member of the team was assigned to cleaning, maintenance or guest service work. The user link also helps scope an individual’s own profile without assuming every staff member can edit every stay.

How the work is organized

  • Parties. Ingredients records the booking party’s name and available contact details.
  • Staff. People links the working person to a Users account and an active state.
  • Assignments. batch consumption points from each service task to the responsible People record, selected resource and stay.

What to agree during setup

Decide who can create and correct party contact records. Use a stable party number when importing guests so two people with the same name do not merge. Review email and phone details before using them for service follow-up. The party record is the contact; the reservation is the dated commitment.

For staff, map each working person to the right user account and role. An inactive staff member should not be selected for new service assignments. Property Manager should confirm who can see task details and who can update the status. Operations Reviewer needs enough access to inspect evidence without turning review permission into general editing access.

Check the handoff on an actual case

A returning guest books a venue and later a room. Property Manager finds the same party record and creates a separate reservation for each stay. The two bookings can carry distinct resources and dates, while the contact information is maintained once. If a name changes, the party identifier still distinguishes the guest from another person with a similar name.

During the room stay, Property Manager assigns a maintenance request to a staff member. The task shows its stay, resource, person and status. If the person is no longer active, the manager assigns an active worker before treating the request as owned. At completion, the timestamp and status help the reviewer see what happened and when.
