What you can do
Begin with the borrower
The Credit Officer starts with the borrower, not a loan amount. The borrower record carries its organization, contact, active position and eligibility note. That note gives the officer and Independent Credit Approver the same starting context when a new request arrives. An inactive borrower can remain visible for historical work; the team should resolve its eligibility position before preparing another request.
An organization record establishes the operating entity, time zone and currency. Team membership also belongs to an organization. The App Administrator keeps these records current so an officer preparing an application can select the right entity and borrower. A similar borrower name in another organization is a reason to check the code and organization, not to reuse the first match.
How the work is organized
- Organization scope. Keep each borrower’s organization beside the organization chosen on the loan application.
- Borrower identity. Use the borrower code and contact details to distinguish similar names before a request advances.
- Eligibility context. Read the active position and eligibility note together; neither is a substitute for the Independent Credit Approver’s decision.
What to agree during setup
Agree who maintains organization records, who can update eligibility notes and when a borrower should become inactive. The App Administrator can maintain memberships and organization setup, while the Credit Officer uses those records to prepare lending work. Decide how borrower codes from an existing source will be handled so a returning borrower remains traceable. Check the currency used by the operating organization against the account currency expected from the provider. The application amount is recorded in USD, so the team needs a deliberate convention when the provider account uses another supported currency.
Set a review routine for old contact details and eligibility notes. An outdated note should be corrected in its own record before a fresh application uses it. Keep the prior application and decision history intact; a borrower record update should not rewrite why a previous request was approved or declined.
Check the handoff on an actual case
Take a borrower with a familiar name but a different organization code from an earlier borrower. The Credit Officer checks the code, active position and eligibility note, then opens a draft application against the intended organization. The Independent Credit Approver sees the same borrower reference when reviewing the requested principal. If the officer selected the wrong borrower, correct the draft before submitting it for review. After a decision, preserve the reviewed revision and record any correction through the agreed review path.
