What you can do
Give each task an owner
A service task connects a unit, a reservation and an assigned staff member. The task type distinguishes cleaning, maintenance and guest service work. Its due date and completion date help Property Manager see whether the work is due, underway or finished. The status path from open through assigned and in progress to completed gives the front desk a useful answer when a guest asks whether a room is ready.
The People record identifies the staff member and links that person to a user account. That connection matters for access and attribution: a task assigned to a name alone can be hard to distinguish when two employees share a name. Role title and active state help the manager keep the assignment list current. The staff profile view lets a signed-in person check the identity used for their own work.
A checked-out room should enter cleaning and have a cleaning task for its unit and booking. If maintenance is needed, the unit can be held in the maintenance state and the relevant task assigned. Completing a task is useful evidence, but the property manager still needs to verify the unit before the next stay is accepted. The open-task list separates overdue or unassigned work from rooms that have genuinely finished the turnover.
How the work is organized
- Source. Begin with the booking, unit or person record that owns the work, and use its linked records for the surrounding context.
- Decision. Give the named operational role a clear point to confirm, post, assign or complete the work.
- Follow-through. Review the next state and the linked reservation before handing it to another team.
What to agree during setup
- Agree who opens, assigns and closes each task type.
- Confirm that every active staff member has the correct user link.
- Define the readiness inspection after cleaning or maintenance.
Check the handoff on an actual case
After a guest checks out, create a cleaning task for the same room and reservation. Assign it to an active staff member and set a due date before the next arrival. Follow the task through assigned, in progress and completed. Check the room and then return the unit to available. If a repair is found, keep the room in maintenance and assign the separate work instead of marking it ready.
