What you can do
Make the unit ready for sale
The unit record represents the room, suite, venue, table or other bookable resource. Its name, type and capacity tell the team what can be assigned. Its state tells the front desk whether it is available, occupied, being cleaned or under maintenance. These distinctions matter when a guest asks for a particular unit: capacity alone cannot establish that it can be used for the requested dates.
A dated rate plan describes the unit type, its effective interval, nightly rate and minimum stay. Property Manager can compare that plan with the rate held on the reservation before confirming it. The booking keeps its own rate so a guest conversation and later folio review refer to the same agreed stay. If several plans cover a date, the property needs a clear local rule for which one applies before staff quote it.
Room readiness links stay planning to housekeeping. At departure, the occupied room becomes a cleaning job; maintenance remains a separate state for work that blocks normal use. The manager and assigned staff should know the unit, the work required and the due date. A completed task is evidence for the manager’s readiness check. Only then should the unit return to the available pool for the next reservation.
How the work is organized
- Source. Begin with the booking, unit or person record that owns the work, and use its linked records for the surrounding context.
- Decision. Give the named operational role a clear point to confirm, post, assign or complete the work.
- Follow-through. Review the next state and the linked reservation before handing it to another team.
What to agree during setup
- Define unit types and capacities in terms staff use at the desk.
- Agree the effective dates and minimum-stay rule for each nightly rate.
- Decide who verifies a cleaned or repaired unit before it becomes available.
Check the handoff on an actual case
Take a unit that holds two guests and a booking request for three. The manager should choose another unit or change the request rather than treat the unit’s available state as enough. Next, test a valid party over dates covered by a rate plan and check that the reservation retains its agreed rate. After checkout, assign cleaning work and verify the room before making it available again.
