What you can do
Keep each instruction attributable
A banking instruction has a record number, subject, owner, organization, counterparty, requested date and amount. The Treasury Preparer begins in Draft and keeps the revision visible while assembling the account scope. Debit and credit account rows identify the provider-held accounts and amounts involved. The team should compare the total debit and credit amounts for the intended movement before requesting independent review. A balanced local scope is the basis for review; it does not itself mean the provider has accepted an instruction.
The instruction status marks distinct operating moments. Review is a request for an independent decision. Authorized records an approval against a particular revision. Submitted and Pending describe work with the provider, while Confirmed requires verified provider evidence. Rejected remains visible with its decision reason. The owner should use the provider instruction identifier to trace a submission instead of opening a second instruction when a response is slow.
How the work is organized
- Prepare. The preparer records the amount, counterparty, owner and account scopes with supporting attachments.
- Authorize. An independent approver reviews the frozen revision before release.
- Observe. The operations team follows provider identifiers, evidence and confirmation dates after submission.
What to agree during setup
The Treasury Operations Lead sets the rule for choosing the right organization and account, who may submit an authorized instruction, and which provider evidence qualifies as confirmation. Agree how a pending response is chased and who investigates rejected provider requests. Keep the revision used for approval alongside the decision; changing the amount or destination after approval needs renewed review. A correction to an authorized instruction must preserve the previous decision and provider evidence, especially when the provider may already have acted.
Check the handoff on an actual case
A preparer records an instruction for an account opening deposit, naming its counterparty and value date and attaching the supporting document. Account scope rows identify where funds leave and arrive. The Independent Treasury Approver reads the current revision and records a decision. Only after authorization does the preparer submit to the provider. The provider returns an instruction reference, but the instruction remains in the submission stage until a verified confirmation or settlement notice is recorded. A later reconciliation item can then be matched against the confirmed instruction’s amount, date and account.
What your team sees
- My instructions — The preparer’s owned drafts and open provider follow-up.
- Provider outcomes pending — Submitted work that still needs a checked outcome.
