What you can do

Give follow-up work an owner

A service task records its type, due time, completion time, state, station, assigned team member and appointment. That combination answers a practical question: what must be done, where, for which visit and by whom. The Front Desk Agent and Property Manager can manage these tasks. Team member records identify staff and link each person to a User, while the assigned task points to the staff record.

Task types include Cleaning, Maintenance and Client Service. Their state moves through Open, Assigned, in progress and Completed. A task due today can be reviewed separately from a completed one, and the appointment link makes it possible to check whether a service request belongs to the correct client visit. The station link remains useful even when the task concerns physical cleanup rather than the client directly.

How the work is organized

  • Record. The Front Desk Agent adds the station, appointment, task type and due time.
  • Assign. The Property Manager or Front Desk Agent selects the responsible team member and tracks the task state.
  • Close. The person completing the work records completion so station readiness can be reviewed.

The task number gives the team a precise reference for a handoff. The type, linked visit, due time and assigned person make the handoff clear to the next shift. A maintenance task should still be distinguishable from cleaning and from a client service request. The Property Manager can review tasks by station when several visits use the same space during a day.

What to agree during setup

Map team members to the correct Users and mark which team members are active. My Team Member Record identifies the signed-in person through the linked User. Use that team member identity when finding assigned work in Open Studio Tasks. Agree who opens tasks, who assigns them, and who confirms that Completed means the work was actually done. A due time should reflect the operational deadline, especially for cleaning between booked appointments.

Agree how the station status changes after cleaning or maintenance. Completing a task and moving a station to Available are related decisions. The Property Manager should check both before the next client arrives. Review what to do when an assigned person cannot finish on time: the task’s due time and state should make the work visible for reassignment.

Check the handoff on an actual case

After a treatment, the station moves to Cleaning. The Front Desk Agent records a Cleaning task linked to the station and appointment, assigns a team member and sets the due time before the next booking. The assigned person finds the task by team member, moves it through in progress and records completion. The Property Manager checks the task, confirms the hygiene inspection passed and then marks the space Available. This keeps the next appointment’s station decision grounded in completed work.
