What you can do

Start with the operating map

The asset directory gives an inventory clerk a shared identity for each network asset or site. Its code, organization, contact and address travel with the work order as people plan field activity. Active Assets is the starting list for current work. An inactive entry remains part of the record but should not be chosen for a new assignment.

A work order can refer to an asset as its location or counterparty. Those references matter when the same stock item appears at several sites: the owner can see where the planned work belongs rather than relying on a subject line. The eligibility note supplies local context for the clerk and supervisor to discuss before work starts.

How the work is organized

  • Organization. App Administrator maintains the operating organization and team membership behind its records.
  • Asset. Inventory Clerk maintains the code, contact and location details used when planning work.
  • Item and lot. The item carries its base unit and tracking mode; a lot identifies quantity at a location.

Stock items and lots give the work order a consistent item reference. A stock item records its code, base unit, category and tracking mode. Available Lots helps the clerk find lots marked available at a location. The quantity on hand is a recorded position, and the work order’s requested quantity remains a separate planning decision.

What to agree during setup

Agree on asset codes, the meaning of each active state and which organization owns each site. Choose a naming convention for devices and asset locations so later port assignments point to recognizable physical equipment. Set the stock item’s base unit before a team enters work quantities. The supervisor should check that a lot’s location matches the place where the activity will happen.

For example, a team may keep a switch at a branch office as an asset and maintain replacement modules as stock items. The work order can name the branch as its location and the module as its item. Those identities are distinct. The clerk should not turn a network asset into a stock lot simply to make the screen look complete.

Check the handoff on an actual case

Take one current asset and one item used there. Open Active Assets and confirm the code, contact, address and organization with the site owner. Then open Active Stock Items and Available Lots to inspect the item code, base unit and available lot position. Create a draft work order with that asset as its location. Ask the supervisor to identify the same site and item from the work order without consulting a separate note.

If an asset’s name changes, keep its code stable for the team that already knows it. If a lot is quarantined, choose its actual status before a clerk plans against it. Review the resulting work order and the stock record together; this is the point where mismatched site and item references become visible.

What your team sees

  • Active Assets — A working directory of active sites and equipment with their organization and contact context.
  • Active Stock Items — Item codes, units and tracking modes used to plan the work.
  • Available Lots — Available lot positions by item and location.
